ORGANISATION GUIDE

Welcome.  We are delighted that you are participating in ITW 2012 and look forward to welcoming you in Chicago in May.  The following Organisation Guide will help you prepare and get the most out of your time at ITW. There are general tasks for everyone, then tasks specific to exhibitors, meeting room holders or bilateral table holders.  Please be sure you complete all those that apply to you!  Click on the relevant links below to begin.

General Planning

Book accommodation
You will have been sent details of local hotels when you returned your signed contracts or registered your attendee passes.  Book early to avoid disappointment!

Organise US Entry Visa
This can take time, so don’t leave it too late! CLICK HERE to find out more.

Register attendees
If you already have passes as part of your contract you will shortly be contacted by Ashley Vickers with details on how to supply the delegate names for those passes.

You can register additional attendees HERE

Once registered, each attendee will receive an email confirming their attendance and email address.
Please remember the email address used to register as this will be needed to pick up your badge onsite.

If you would like your attendees to use the DealCenter contact system, then we recommend you register their details before DealCenter goes live on 14 March 2012.

Register on DealCenter
DealCenter is an online list of registered delegates that allows attendees to view one another’s names, titles, companies and industry sectors to determine whom they wish to meet while at ITW.  Attendees can then request meetings and manage their meeting timetable before and during the event.  For more information CLICK HERE.

In March 2012 all registered delegates will receive an email detailing how to access DealCenter.  Once you receive this email please use it to quickly update your profile and begin planning your ITW 2012 meeting schedule.

Sponsorship and Marketing
Do you want to increase your profile at ITW?  There are many sponsorship and marketing opportunities available to enable your organisation to raise its brand awareness in the global wholesale telecommunications community.  Whether you are interested in putting an insert in the delegate bags or sponsoring a hospitality function, there are opportunities available for all budgets.

Internet access
Wireless internet access will be provided throughout the event in public areas of the Hyatt Regency Chicago Hotel including the East and West Tower foyers, all restaurants & bars and throughout the Purple and Gold Levels.  Internet access in meeting rooms is also wireless and chargeable at $13.95 per 24 hours.  You can either charge the $13.95 to your guest room or meeting room if you have one at the hotel or pay by credit card onsite.

Hire Lead Management System
There are various lead retrieval systems available for hire from Show Data Solutions.  CLICK HERE for more information and to order online.  You will also be able to hire them on site at the event – their desk will be in the exhibit hall on the Purple Level of the East Tower.
